The Max Planck Institute for Intelligent Systems (“we”, “us”) takes the protection of your personal data very seriously. This privacy policy informs you about the nature, scope, and purpose of the personal data we collect and process in connection with the Machine Learning Summer School (MLSS) 2026.

3. Data we collect
When you create an account and apply to MLSS 2026, we collect and process the following personal data:
- Name (first name and last name)
- Email address
- Institutional affiliation
- Curriculum Vitae (CV, uploaded as PDF)
- Motivation statement
- Poster summary
- Financial support request (optional) and, if requested, the justification you provide
- Account password (stored in hashed form only)
- Date and time of application submission
4. Purpose and legal basis
We process your personal data for the purpose of evaluating your application to MLSS 2026. The legal basis for this processing is your consent (Art. 6(1)(a) GDPR), which you provide when creating your account.
Your application data will be reviewed by members of the MLSS 2026 organizing committee. Reviewers may rate and comment on applications as part of the selection process.
5. Data retention
Your personal data will be stored for the duration of the application and selection process. After the conclusion of MLSS 2026, application data will be deleted within 12 months, unless longer retention is required by law.
You may delete your account and all associated data at any time through the “Cancel Application” function in your applicant dashboard.
6. Data sharing
Your personal data will not be shared with third parties outside of the MLSS 2026 organizing committee. We do not sell or transfer your data for commercial purposes.
7. Hosting and technical measures
This website is hosted on servers located in Germany. All data transfers are encrypted via HTTPS. Passwords are stored using industry-standard cryptographic hashing and are never stored in plain text.
8. Cookies
This website uses only essential session cookies required for the authentication and security of your account. These cookies are strictly necessary for the operation of the website and do not require your consent. No tracking or advertising cookies are used.
9. Your rights
Under the GDPR, you have the following rights regarding your personal data:
- Right of access (Art. 15 GDPR) — You may request information about the personal data we hold about you.
- Right to rectification (Art. 16 GDPR) — You may request correction of inaccurate data. You can also update your application through your dashboard.
- Right to erasure (Art. 17 GDPR) — You may request deletion of your data. You can also delete your account directly through the “Cancel Application” function.
- Right to restriction of processing (Art. 18 GDPR) — You may request that we restrict the processing of your data under certain circumstances.
- Right to data portability (Art. 20 GDPR) — You may request to receive your data in a structured, machine-readable format.
- Right to withdraw consent (Art. 7(3) GDPR) — You may withdraw your consent at any time by deleting your account.
- Right to lodge a complaint (Art. 77 GDPR) — You have the right to lodge a complaint with a supervisory authority, in particular in the EU member state of your residence.

This website loads fonts from Google Fonts and the Bootstrap framework from a CDN (Content Delivery Network). When you access our pages, your browser establishes a connection to these services, which may transmit your IP address. We may update this privacy policy to reflect changes in our practices or legal requirements. The current version is always available on this page.
